Privacy Policy

This Privacy Policy explains how matchdaypay.com ("MatchdayPay", "we", "us", "our") collects, uses, and protects personal data when you use our service at https://app.matchdaypay.com. We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

matchdaypay.com is registered in England and Wales. We operate MatchdayPay, a software-as-a-service platform that helps football clubs manage their squads and collect match subscriptions ("subs").

Note: Individual clubs using MatchdayPay are also data controllers for the player data they enter. We process that data as a data processor on their behalf.

2. Data we collect

Club managers and account holders

  • Email address (used for login and account communications)
  • Display name (optional, shown within your account)
  • Club name and settings
  • Billing information (processed and held by Stripe — we do not store card details)
  • Usage activity (pages visited, features used) for product improvement

Players added to a club

  • First name and last name
  • Mobile phone number
  • Messaging preference (SMS or WhatsApp)
  • Position and shirt number (optional)
  • Match appearances and payment history
  • How they were added to the club (by a manager or via an invite link)

Players who sign up via an invite link

In addition to the above, we record your consent and the date and time it was given.

3. Why we process your data and our lawful basis

Performance of a contract

We process account holder data to provide the MatchdayPay service you have signed up for, including sending payment requests, managing your squad, and processing subscription payments.

Legitimate interests

We process player data entered by managers on the basis of legitimate interests — specifically, enabling clubs to manage their members and collect agreed match subscriptions. We have assessed that players have a reasonable expectation of this within a club context.

Consent

Where a player signs up via an invite link, we rely on their explicit consent, which is recorded at the time of submission. You can withdraw consent at any time by contacting us or using the opt-out link in any message we send you.

Legal obligation

We retain financial records for 7 years as required by UK law.

4. How we use your data

  • To operate and improve the MatchdayPay service
  • To send payment requests and reminders via SMS or WhatsApp on behalf of your club
  • To process subscription payments via Stripe
  • To provide you with account and service communications
  • To comply with legal and regulatory obligations

5. Who we share your data with

We use the following third-party service providers. Each is subject to appropriate data processing agreements:

Supabase

Database and authentication. Data is stored in the EU. Privacy policy ↗

Payment processing and subscription management. Stripe is the processor for all card transactions. Privacy policy ↗

Twilio

SMS and WhatsApp messaging. Player phone numbers are shared with Twilio solely to deliver payment messages. Privacy policy ↗

We do not sell your personal data to third parties.

6. How long we keep your data

  • Account data: retained while your account is active and for 2 years after closure
  • Player data: retained for 2 years after the last recorded activity, or until you request deletion
  • Payment records: retained for 7 years as required by UK financial record-keeping law
  • Messaging logs: retained for 12 months for dispute resolution purposes

7. Your rights

Under the UK GDPR you have the following rights:

  • Access: request a copy of the personal data we hold about you
  • Rectification: ask us to correct inaccurate data
  • Erasure: ask us to delete your data (subject to legal retention obligations)
  • Restriction: ask us to stop processing your data in certain circumstances
  • Portability: receive your data in a structured, machine-readable format
  • Object: object to processing based on legitimate interests
  • Withdraw consent: where processing is based on consent, withdraw it at any time

To exercise any of these rights, email privacy@squadmanager.app. We will respond within 30 days.

8. Opting out of messages

If you no longer wish to receive payment requests or reminders from a club, you can opt out at any time using the opt-out link included in every message. Opting out stops all automated messages from that club. Your payment record within the club remains unchanged.

9. Cookies

We use only essential cookies required for authentication and session management. We do not use advertising or tracking cookies.

10. Complaints

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113. We would appreciate the opportunity to resolve any concerns first — please contact us at privacy@squadmanager.app.

11. Changes to this policy

We may update this policy from time to time. When we make material changes, we will notify account holders by email and update the effective date at the top of this page.
